Clinical notes that stay in the room
A doctor records the visit. The transcript and the summary are generated on their own computer, with no health data sent to a cloud service.
The problem
Writing notes after a full day of appointments is slow, and pasting a conversation into an online tool means sending health information to a third party. Many clinics and hospitals either forbid it or need a long review first.
How it works
- With the patient's consent, press Record meeting in AirGapScribe, using microphone-only mode in the consulting room.
- Stop the recording. The speech-to-text runs on your PC, with the Whisper Small model that ships with the app.
- Open the meeting. Speakers are separated as Speaker 1 and Speaker 2, and you can rename them.
- With Pro, the local assistant drafts a summary, minutes and a task list from the transcript, on the same PC. It runs a 1.1 GB model that also ships with the app.
- Review and correct the text, then copy it into your clinical record system. Export as .txt or .json if you prefer.
What stays on your PC
Audio, transcripts and the assistant's drafts stay on the computer. The app connects to the internet only to validate a Pro license (license key and product name, not meeting content), to download a larger model if you choose one, and for Microsoft Store updates. Check it yourself.
Honest limits
- AirGapScribe produces drafts. A clinician must review every note; transcription errors are possible, especially with medical terms, overlapping voices or background noise.
- Using it does not by itself make you compliant with health-data law or your institution's policy. Check your obligations and get patient consent where required. This is not legal or medical advice.
- Windows 10 and 11 only.
- With an NVIDIA GPU you can turn on optional acceleration (a one-time download). On an RTX 3060, minutes for a short meeting took about 6 seconds on GPU versus about 78 on CPU.

Is patient audio sent anywhere?
No. Recording, transcription and the assistant run on your PC.
Does it work without internet in the consulting room?
Once the app and the models you use are installed, yes. A Pro license is re-validated online from time to time and keeps working up to 14 days without a connection.
Is the free plan enough?
It covers sessions of up to 45 minutes. Pro removes the limit and adds the local assistant.
Does local transcription make me HIPAA compliant?
No, not by itself. Keeping the audio on your PC means no meeting-tool vendor receives it, but compliance depends on your own safeguards, policies and agreements. Check your obligations; this is not legal advice.
